Case Study: All-in-one sales leads and CRM

The problem

Acme, Inc. is a small but growing technology company that does a whole lot with its few employees. Acme knows that it could improve its business by using CRM solutions, but it can't afford the expensive prices for current solutions. So, Acme makes do by cobbling together a few separate applications to do specific tasks, such as tracking, email campaigns, website forms, etc. The problem is that Acme has lost control of what happens, or has happened, to each of its customers, i.e. database records. Acme uses a spreadsheet to track its customers, and then does .csv exports from the spreadsheet to use one application for email campaigns, one application for mail merge, and yet another application for online backup. Now Acme can't easily see which customers have "opted out" of its email campaigns, because that information is stored in a different place.

Getting organized: gathering customer and prospect input

Acme has used Trackvia to get organized. Now, using Trackvia's form builder, Acme has placed forms on its website to 1) gather customer feedback, 2) gather customer support requests, 3) and gather sales leads from prospective customers. In addition, Acme's "info@" email address now sends information straight into its leads database, and its "support@" email address now sends support requests straight into its support database.

"Workflow"

Gathering information is only the first part of the challenge. The next part is responding to requests and feedback in a timely and professional manner. Trackvia allows Acme to accomplish this in a fraction of the time it used to take them. Now, each customer or prospect request receives an automated reply, ensuring them that Acme has received the request and will follow-up on it promptly.

Internally, Acme has built filtered database views to categorize customer requests into usable pieces. For example, they've built a filtered view to show all new customer support requests that haven't yet been replied to. As soon as a new request is sent to Acme, it appears in this view, and it can be quickly edited to assign it to the right employee for follow-up. Management can monitor employees' performance by viewing a report that shows aging of support requests, by employee.

Keeping customers informed

Acme has a strong interest in keeping its existing customers and its prospects informed of the latest company and product news. Not only does Acme want to keep its existing customers happy, it wants them to use its technology in more and different ways, boosting the average revenue per customer, and ensuring that they won't switch to a competing technology. Trackvia allows Acme to communicate with its customers and prospects easily and regularly.

Acme uses Trackvia to send its monthly newsletter to its customers and prospects. Acme has designed attractive HTML email templates for its newsletters, and "merges" customers' names and other information into the email so that it's personalized and appears to come straight from Acme - not a third party application. Trackvia handles Opt Outs automatically, ensuring that Acme respects its customers' wishes.

In addition, Acme uses Trackvia for drip email campaigns to its sales prospects. Acme has built chronologically filtered database views (it may sound complicated, but it's not...) to show all prospects that made in inquiry 2 days ago, 7 days ago, and 14 days ago. Acme uses separate email templates to send to these groups each day, ensuring that the prospects are followed-up with throughout their evaluation process. Again, Opt Outs are handled automatically by Trackvia, as are other criteria, such as removing from the list any prospects that have already purchased. It's embarrassing to send a follow-up sales email to a customer who's already purchased, and Trackvia can ensure it won't happen.

So how did we do?...

Finally, perhaps the most important part of Acme's CRM needs is the ability to see how the company, and how each employee, is doing at serving and replying to their customers and prospects. Acme uses Trackvia's built-in history and change tracking to see who changed what, when. And they've built customized database views that combine various criteria to see at-a-glance which employees are performing well or poorly. For example, Acme has built views for each employee that show all of the requests they handled in the preceding week, and what the employees' backlog is. All of Trackvia's features work in tandem to allow Acme to do even more with its small number of employees, and to function as a much bigger company through an affordable, easy-to-use online database application.
