TrackVia’s user management framework allows you to set specific, tailored access rights and permissions for hundreds or thousands of users. This is done through a built-in application that is part of every TrackVia account.
KEY CONCEPTS
The user management application is based on key items that you can create and modify. Each item is stored in its own TrackVia table. The four main item types are:
Users: A user is a specific individual who will access TrackVia. Each user record in the Users table contains a login name, password, email address, and so on. Users come in two types: admins, who have unlimited access to the entire TrackVia account, and normal users, whose permissions are governed by their roles.
Roles: A role is a set of permissions – specifically, table permissions. Each role has a name, like Sales Rep or Customer Support Engineer. Users can be assigned to multiple roles, and roles can be assigned to multiple users.
Table permissions: A table permission describes actions that can be performed in a single table. One or more table permissions are combined to form a role, which are then assigned to one or more users.
Groups: A group is a set of users. Groups are only used to indicate whether a user is “involved” with a record; groups are not used to assign roles to many users at once.
These four concepts work together to govern what users can do inside TrackVia. The tables that any one user can access, and the details of that access, are determined by the table permission records in all of the roles that the user is assigned to.
